Job Summary

The Export Coordinator is the main contact for international dealers with various export booking, requirement, and logistical issues. This position is responsible to manage the order process including inquiry, through production, shipment, invoice, and export documentation.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

1. Provide customer support for international dealers. Review dealer inquiries, request, issues, and follow-up with answers and trouble-shoot for solutions.

2. Advise dealer of shipping schedule and necessary shipping details. Create invoice for goods shipped with particular attention to any special terms or discount agreements. Approve freight charges, delivery charges and other assessorial charges for payment. Report to management the status of international goods shipping for month-end forecasting and inform management when goods have not been shipped.

Ocean and Air Freight Coordinators are responsible for negotiating ocean and air freight rates to specific areas and secure contract rate based on volume commitment. Research best freight options for export and prepare freight quotations for all charges including goods, inland, ocean, handling, insurance, packing and other necessary quotations. Plan for ex-factory and export arrangements booking directly with steamship lines to reserve space and to secure a schedule.

3. Enter new orders into ERP system; obtain availability date from production/international shipping dock. Confirm orders and availability for dealers. Process open orders for completion machines, pursue shipping instructions, and request finance approval.

4. Provide support including preparing general documents needed for export including pack list, master B/L, and AES filing and updating data in Access database to include order/invoice/shipping information.

5. Prepare invoices for dealer quotations and finance arrangements. Create specialized documentation and/or arrangements to meet other requirements e.g. proforma invoice, country of origin.

6. Create letters-of-credit or sight draft terms and follow-up with any necessary banking to ensure payment to Company or dealers.

Education and/or Experience

- Minimum of an Associate's degree, yet a Bachelor's degree is preferred with 2-3 years job experience and/or training with Export Goods and Domestic/International Customer Service; and/or combination of education and experience.

Other Skills and Abilities

- Ability to remain current with export requirements.

- Knowledge of logistics, customer service, export booking, and specialized export documentation.

- Ability to provide informative and professional assistance when working with the public/customers and co-workers.

- Ability to effectively communicate in foreign language is a plus.

- Ability maintaining positive interpersonal relationships which encourage openness with customers and peers.

- Ability to produce accurate, professional and error-free documents in a timely manner.

- Demonstration of good verbal and written communication skills.

- Ability to prioritize multiple tasks while supporting the department.

- Ability to effectively manage dealer's open order status and completed goods, shipping instructions, and follow-up arrangements for shipment.

- Ability to actively and creatively problem solve to arrive to the best solution with various delivery, shipping, and scheduling requirements.

- Ability to accurately type at least 50 words per minute.

- Ability to apply various mathematical skills to quote pricing, calculate special discount, quote freight, and provide foreign currency conversions and metric conversions.


Up to 5% domestic and/or international travel by car or plane may be required.
