Executive Secretary
The executive secretary provides administrative and clerical support to management and staff to achieve corporate and departmental goals and objectives. Responsibilities include coordinating meetings and schedules; analyzing information requests, drafting correspondence and creating system-generated reports. This position involves contact with the general public, government agencies, management and co-workers.
Primary Job Duties and Responsibilities (Essential Job Function)
Create, process and maintain information using software specific to the function of the department or position, including licensing, dispatching, database maintenance and report generation.
Schedule and maintain calendar, including meetings, travel itineraries and other arrangements as needed.
Analyze and maintain databases, report data and create reports on a scheduled basis and as requested.
Maintain files and documentation.
Perform additional responsibilities as requested or assigned.
Demonstration of knowledge and understanding of human performance improvement techniques.
Evaluate present practices and implement processes, concepts, training and tools to prevent, detect and correct human errors that may adversely impact the safe, reliable operation of the electric transmission and distribution system.
Associate's degree in business or related major or equivalent administrative work-related experience. (Typically three years of related, progressive work experience would be needed for candidates applying for this position who do not possess an associate's degree.)
Three to five years of experience in an administrative/secretarial role.
Personal computer skills; experience in using Word, PowerPoint and Excel and basic knowledge and ability in software packages such as Access and Visio.
Ability to create documents and maintain information in department-specific software packages.
Proficiency in keying and software program features based on required assessments.
Effective oral and written communication skills.
Effective analytical and problem-solving skills.
Ability to prioritize and handle multiple tasks and projects concurrently.
Ability to adapt procedures, processes and techniques to resolve complex problems and issues.
